BOOK FAIR INFORMATION
Thank you
for choosing BookSmart to run your fair. Below are answers to
many frequently asked questions and information regarding our
procedure. Please do not hesitate to contact us with any further
questions or concerns.
BEFORE THE FAIR BEGINS
-Please provide us with the dates of your book fair. Due to the
increasing demand for our services we recommend scheduling your
dates six months to one year in advance.
-BookSmart will send one reservation contract and one contract
with more specific details involving delivery and pickup.
-On your contract, please provide the following information
· Delivery and Pickup times with the day, date, and time within
a three hour window (for example: January 3rd (9am-12pm). Please
be aware that we cannot provide on-the-dot deliveries.
· Address for delivery and pickup
· Contact name and phone/cell phone number of person for delivery/pickup
days
· Special delivery circumstances (i.e. stairs, parking, alternate
entrances, etc.)
-Our fee for delivery and pickup is dependent upon distance and
number of boxes. This service is optional with many schools choosing
to deliver and pick up themselves. For schools choosing the latter
option, we require one to two able-bodied people to load up the
boxes at BookSmart and bring them down the freight elevator to
load into your vehicle(s). The same will be needed when returning
the boxes. We have 2 dollies on site to assist you. Please note
the freight elevator operates Monday-Friday 9am-12pm and 1pm-4:
30pm.
-Provide us with all contact information of the book fair chairperson
as well as information for the person responsible for remitting
the final invoice.
WHAT WE PROVIDE
-BookSmart provides a comprehensive selection of books, which
are then culled for your particular school. We ask for any special
book requests (teacher's picks, summer reading, author appearance,
etc.) five to six weeks prior to the book fair to allow adequate
time to obtain titles. Again we are happy to accommodate requests
with ample notice, but know some titles may be out of print, out
of stock, or simply unavailable.
-Please download and fill out the appropriate category list. Check
the categories you wish to receive and cross out any that do not
apply to your school or do not interest you. Feel free to make
notes on the list (i.e. more science…esp. dinosaurs and planets,
Curious George theme, etc.) Fall Category List, Spring Category
List, Pre-School Category List
-Know that we will provide the newest titles, including best sellers,
Caldecott and Newbery, and Nutmeg winners, etc.
-We do not provide a specific checklist or inventory sheet as
books are handpicked for each school. Know that we pride ourselves
on our knowledge of the best and newest literature, and, for many
schools, work from years of history understanding the needs of
that particular school's curriculum.
-It is each school's responsibility to organize volunteers to
set up their fair. BookSmart is responsible only for providing
the merchandise.
DURING THE FAIR
-Boxes will be labeled appropriately. For boxes that are labeled
numerically (i.e. Lower Reading Box #1), it is essential to open
these boxes in order.
-Please open all boxes you receive before you make any assessment
of further needs.
AFTER THE FAIR
-Please pack and return the books in an orderly and organized
fashion. It is not necessary to pack books in the same boxes they
arrived in, but avoid mixing categories and making the boxes too
heavy.
-It is the book fair chairperson's responsibility to provide BookSmart
with the Gross Sales Figure from the fair. We need this figure
as soon as possible after the fair.
-From this figure we will create an invoice subtracting the discount
of 25% and adding the delivery fee if applicable.
-We allow two weeks from the end of your fair to receive payment
without penalty. After the two weeks, we will enforce a 5% reduction
in your discount.
LOOKING FORWARD

us with the contact information for the chairperson as well as
